As our eClinicalWorks (eCW) database grows, it’s increasingly important that our providers have a way to add an additional layer of security to certain patient notes, such as those of AdvancedHEALTH practice and ADI employees, celebrity patients, and those with behavioral health issues. Did you know providers in our eCW database have the ability to make notes confidential? For more on this feature, check out the information below, as well as our training aide on How to Mark Notes as Confidential (PSAC) in eCW. PSAC: What You Need to Know

  • The current ADI eClinicalWorks database utilizes what’s called facility-based security. This automatically “hides” your Progress Notes from other AH practices.
  • Making a note confidential will add an additional layer of security that requires other individuals with access to your practice to enter a reason before viewing the note. These individuals include other providers and staff in your office, PhyData staff, and even the Software Support Team.
  • Providers should NOTmark all notes confidential by default. This will cause significant delays in your staff’s workflow.
  • Confidential notes can still be accessed by your staff after entering a reason.
  • When staff realize they’ve selected a confidential note that they don’t actually need to view, they can enter “selected in error” and click “No” to cancel opening the note.
  • The Software Support Team audits confidential note access logs regularly for security purposes.
